Service Waitlist


Merchants can toggle ON to enable a service waitlist. merchants may manage service waitlists in Core, Widget Customer/Staff Apps.


 


Merchants have the option of either manually handling their service waitlists or automatically. 


Waitlist Configuration Options


Manage Manually


Only Merchants are able to manage the Waitlist queue.


Book button will not display on any online platform i.e., Widget and Customer App. Moreover, this configuration will not support any automatic enrollments. 


Top  Price


The waitlist queue will be managed by the system, however, merchants always have the option of adding customers to a waitlist using Core. The customer queue will be prioritized after calculating the amount each waitlist customer is due to pay for service on the selected day.

  • Book Automatically - the system will automatically book an available slot for the Top Price payer on the waitlist. Merchants can establish the minimum percentage (between 0% to 100%) of the total invoice to be paid.
    • Time Before Service - upon merchant preference, they may indicate a Time Before Service to stop all bookings for the service. For example, if the time is set at 30 minutes then no customer will be moved to the Scheduler as a booked customer after this time period starts. 


When setting Booking percentages a 100% would indicate a full payment and 0% would mean no payment is required to book the class.


Alert Only


The system will send a notification to the top price waitlist customer. If the slot is not booked by the 1st Customer, within time to respond then an alert will be sent to the next Customer in the waitlist priority queue.


The mode of alert will be suject to what Notfication settings Merchants will set. An Alert will not be sent out if 'Booking Ends Before' or 'Time Before Class' has started.



Manage Sequentially


Add a Customer to a Waitlist on a first come first serve basis. Waitlist queue will be managed by the system but Merchants can always book any customer from the waitlist using Core.


  • Book Automatically - the system will automatically book an available slot for 1st customer on the waitlist priority queue. Merchants can establish the minimum percentage (between 0% to 100%) of the total invoice to be paid. 
    • Time Before Service - upon merchant preference, they may indicate a Time Before Service to stop all bookings for the service. For example, if the time is set at 30 minutes then no customer will be moved to the Scheduler as a booked customer after this time period starts. 

Alert Only


The system will send a Notification to 1st Customer in waitlist priority, the other rules are the same as mentioned above,



Alert All


Sends an automatic alert to all Waitlist Customers as soon as space becomes available.



Enable Waitlist Online

 

Toggle ON to allow Customers to add themselves to the Service Waitlists on the Widget & Customer App.


  • Require Payment Method Online - toggle ON to require card details from Customers to enroll in the Waitlist. Toggling OFF would result in the system still requesting payment information from the Customer, but it would not be mandatory. 
  • Payment Display Text (Up to 200 Characters) - Merchants may customize the text that will be displayed at checkout to provide Customers with more information in regards to why a payment method is being requested for Waitlist bookings.



It is highly recommended Merchants enable Require Payment Online in combination with ‘Book Automatically’ to ensure that Wellyx always has the necessary card details to book a Customer as space becomes available.


Waitlist Time Brackets


Provide customers with time brackets for the waitlist. A maximum of 5 brackets can be provided per day. When Merchants set Waitlist Time Brackets, Customer will have these brackets appear as “Pick Your Desire Time” dropdown option. If not brackets are set then 'Anytime' will appear - allowing for Customers to choose a time slot of their choice. 


Merchants are provided with three default brackets that they may edit to their preference:

  • Morning 8:00-12:00
  • Afternoon 12:00-18:00
  • Evening 18:00-21:00



Restrict Days For Waitlist


From the dropdown menu, Merchants can select the days of the week for which the waiting list will be active.



Maximum Customers


Limit of the number of Customers allowed to add to the waitlist for the service using the online platform. However, Merchants do not have a restriction while adding Customers from Core



Notifications


From the dropdown menu, Merchants can select how they would like to notify Waitlist Customers when space becomes available in a Service.


Merchants can choose from the following options:

  • All
  • Email
  • SMS
  • Notification 



Scroll back to the top and click Save.


A 'Waitlist Configurations Saved Successfully' message will appear, confirming all the changes.
